Change page responsible and contact

This guide is for user administrators. As a user administrator, you have access to two different tools that can be used to change page responsibilities and contact information. Each tool has its advantages and disadvantages. Therefore, we will review both tools so that you can choose the one that best meets your needs.

The Page Responsible Tool is the obvious choice when you want to change the page responsible for multiple pages without having to go to each page individually. However, the Page Responsible Tool cannot be used if, for example, an editor has left and you want to ensure they are no longer listed as the page responsible anywhere. In this case, the Replace Responsible Tool would be the appropriate choice.

Note:

  • Page Owner is always an editor who has access to TYPO3. The page owner only appears in the backend. The person who creates a page in TYPO3 automatically becomes the Page Owner. If no changes are made, the Contact will be the same person as the Page Owner.

  • Contact information is displayed at the bottom of the page in the frontend on the date. This can be anyone with an AUID. The contact person can be you, your manager (or another person who is familiar with the content), or a shared mailbox. The contact does not need to have access to TYPO3.

  • You cannot undo changes made to the page responsible or contact information. You can only add new information.

Page responsible tool

The page responsible tool can be used to update who is listed as the page responsible for your pages. You can easily change the page responsible for multiple pages without having to go to each page individually, and you even have the option to inherit this information, so you don’t have to make the same change on subpages.

In TYPO3, we have two concepts: page owner and contact. The person who creates a page in TYPO3 automatically becomes the page owner and is responsible for the page's content. The page owner is not visible in the frontend — contact, on the other hand, is the person listed at the bottom of the page who receives any inquiries. If no changes are made, contact will be the same person as the page owner.

There are several situations where you might want to change the contact. For example, if you have created several pages on behalf of others and now want to update the contact to the respective editors, or if you want to have an editorial or functional mailbox listed as the page responsible instead of the person who created the page.

  1. Click on Page Responsible.
  2. Click on the page in the page tree for which you want to change the page responsible.
  3. An overview will appear, showing who is listed as the contact on the page in the frontend.
  4. You can also choose how many levels of pages you want to display under the column Page.
  5. Click on the pencil icon for the current page (branch of pages) for which you want to update the owner and contact. The screen will change.
  6. By default, contact is set to the page owner, i.e., the person who created the page.
  7. You can move the cursor to Person, where you can enter the email or AUID of the person who should be listed as the contact.
  8. The third option is Write link text and address (URL), where you can enter optional text and an email or link. In the example, we have inserted "Studieservice" in the text field and a functional mailbox in the link field. Remember to fill out the fields in both Danish and English.
  9. It’s a good idea to attach the URL, so mark the field.
  10. The fourth option is Inheritance, where you inherit the page responsible from the parent page. Avoid inheriting information from above, as it can create confusion.
  11. For Depth, choose how many subpages your choice should apply to. Note: This cannot be undone.

Replace responsible tool

By using the "Replace Responsible" tool, you can easily replace a contact for multiple or all pages at once. This is useful when an editor has left and needs to be replaced by someone else.

  1. Select the "Replace Responsible" tool on the left side.
  2. Enter the email, AUID, or name of the person you want to remove as a contact. Once the system recognizes the person by the email or AUID, the screen will update.
  3. Select "Person". (It is also possible to choose "Inheritance"—this will make the person responsible for the parent page the new page responsible. Generally, it is advised to use the inheritance function with caution, as the consequences of using it can be difficult to assess.)
  4. Specify the person you want to change to—you need to enter either the email or AUID.
  5. If you want to make a 1-to-1 replacement, you can simply click on "Change contact for all pages."
  6. Alternatively, you can change the responsible person for selected individual pages.
