User roles in TYPO3

As an employee at Aarhus University, you can access TYPO3 with one or more of the following three roles:

1. Editor

This is the most common user role, allowing you to:

  • Create, edit, and delete new pages
  • Create, edit, and delete content elements on pages
  • Create, edit, and delete files in the file list

2. User administrator

As a user administrator, you have the same rights as an editor, but with additional rights to:

  • Create new users
  • Modify existing user roles
  • Set up password protection on one or more pages

3. News author

As a news author, you have access solely to create news items in the news module. It is possible to be a news author if your role is limited to creating news items, but in most cases, the role of news author is combined with that of an editor or user administrator.


Roles related to content

We also have different roles associated with content. The purpose of these roles is to ensure that there are responsible individuals for every page on AU's website.

All pages created in TYPO3 must have one or more individuals assigned to these three roles:

Content Owner: A content owner is responsible for the content of a page or domain. For example, the content owner for an institute page is the head of the institute. Often, the content owner delegates daily responsibilities to a number of editors.

Page Owner: The person who creates a page automatically becomes the page owner and is responsible for ensuring the page is updated.

Page Responsible: A page owner can delegate the responsibility for updating and maintaining the page to a page responsible. The page responsible is the person who appears as the contact at the bottom of the page. If no page responsible is selected, the page owner will be listed as the contact person.

Tasks for a Content Owner

The daily responsibility for websites associated with Aarhus University lies with the so-called content owner. The content owner is typically the leader of the formal units, organizations, or associations that are to be represented on the web.

Responsibilities of the Content Owner:

  1. Ensure that texts are up-to-date and accurate.
  2. Ensure that there are resources available for updating and maintenance
    This task should be carried out in collaboration with the faculty's web department, which may, in some cases, provide resources.To avoid bottlenecks in website management, the responsibility for uploading content to websites should be placed as close as possible to where the content is produced.
  3. Ensure that general rules are not violated, including AU's web guidelines, branding principles, use of secondary logos, etc.

The content owner can delegate editorial tasks to one or more web editors (see point 1). However, the overall responsibility cannot be delegated (see points 2+3).

Support for content owners and editors

AU IT User Experience is responsible for the overall structure and appearance of au.dk and ensures consistency across all content on the website. AU IT User Experience also facilitates the communication work related to the website by:

  • Hosting workshops and ERFA meetings.
  • Offering courses.
  • Writing guides.
  • Providing support.
  • Offering consulting/advice.

AU IT User Experience is responsible for creating plugins and designing the displays of distributed content from systems other than AU's CMS. Some of the content found on the website will come from systems other than the university’s CMS. The responsibility for this content lies with the respective system owner.
