Web coordination committee

The web coordination committee at Aarhus University meets every three weeks to set goals and priorities for the development of functionality, as well as the structural and design frameworks in Aarhus University's CMS TYPO3. The composition of  the committee is outlined below

Starting point and purpose

The purpose of the Web Coordination Committee is to set goals and priorities for the development of functionality and the structural and design frameworks in TYPO3. The committee will serve as a focal point for projects related to or interfacing with TYPO3. It is responsible for ensuring coherence and a unified direction among the selected priorities and ongoing projects.

Members

The Web coordination committee is composed of:

  • 1 representative from each of the 5 faculties
  • 1 representative from US Communication and Press
  • 1 representative from AU Education
  • 2 representatives from AU IT User Experiences

Depending on the agenda, participants may bring a second person to the meetings.

Needs related to faculty, institute, and center pages: Representatives from each of the 5 faculties

Needs related to employee portals: Representatives from each of the 5 faculties

Needs related to PhD pages: Representatives from each of the 5 faculties

Needs related to recruitment pages, e.g., bachelor.au.dk and kandidat.au.dk: Representative from AU Education

Needs related to employee services: Representative from AU IT User Experiences

Needs related to project pages and other pages managed by Research and External Relations: Representative from US Communication and Press

Commitments for the participating members

The participating members must:

  • Identify needs for the development of technical, structural, and design frameworks that support web communication.
  • Contribute to ensuring necessary user involvement in development projects and securing decision-making among editors and the organization as a whole.
  • Follow up on initiated initiatives and working groups.
  • Communicate and promote efforts and new technology to the editors they represent.
  • Contribute to documenting errors and development requests.
  • Inform about major content projects from their representative's background.

Focus areas and tasks

The main tasks of the committee are:

  • To propose development projects within the administrative framework based on collected user needs.
  • To create an annual prioritization of development requests for TYPO3 management, including functional, structural, and design aspects in TYPO3. This prioritization is subsequently approved by Komforum.
  • Ongoing follow-up on the annual prioritization and any changes to it.
  • To perform ongoing prioritization of smaller development tasks.
  • To establish working groups that can qualify and contribute to action plans and development projects within the administrative framework.
  • To qualify larger cross-cutting web projects such as those related to areas like EVU (Further Education), Business Efforts, etc.
  • To coordinate mutual information and knowledge sharing with local editors.

In addition to meeting activities, ongoing involvement and follow-up are expected.

Meetings

  • Meetings are held every three weeks.
  • At least 3 days before each meeting, the agenda, including attachments, is sent out.

References and context

  • The Web Coordination Committee operates at a tactical level with reference to the Komforum at the political and strategic level.
  • The Web Coordination Committee provides a quarterly report to the Komforum.
